Booking & Cancellation Policy

This policy outlines the booking and cancellation terms for all services offered by Ripple Effect Rides. It forms part of our full Terms and Conditions, which are available on our website and govern your relationship with us in full. By booking a tour or ride with us, you agree to both this policy and our Terms and Conditions.
Day Tours and Community Rides
Booking
Day Tours and Community Rides can be booked up to 17 hours prior to the scheduled start time, allowing bookings to be made until 3pm the day before a standard morning departure. Full payment is required at the time of booking to confirm your reservation.
Cancellation
- Cancellations made 24 hours or more before the tour start time will receive a full refund minus any applicable payment processing fees.
- Cancellations made less than 24 hours before the tour start time will be charged in full and no refund will be issued.
No-shows
If you do not show up for your tour or ride, your payment will be forfeited in full. No refund will be issued.
Travel insurance
Travel insurance is not a mandatory requirement for day tours or community rides. However, Ripple Effect Rides accepts no liability for medical expenses, personal injury, or loss arising from participation, regardless of whether you hold insurance cover. Participation is at your own risk. If you hold a travel insurance policy and would like your guide to have a copy for emergency reference purposes, you are welcome to submit it to us at the office on the day of your tour.
Refund processing
Eligible refunds for day tours and community rides will be processed within 10 business days of cancellation confirmation.
Multi-Day Tours
This section applies to all Charity Rides and Custom Tours. Due to the tailored and logistically complex nature of these tours, the booking and cancellation terms are more detailed than those for day tours. If you have any questions about how these terms apply to your specific booking, please contact us directly at info@rippleeffectrides.com. You may also use the cancellation tiers outlined below as a general guide when reviewing your personalised Custom Tour proposal.
Booking and payments
A non-refundable 30% deposit of the total tour cost is required to secure your place. The remaining balance is due 90 days before the tour start date. Payments can be made by card or via bank transfer. If you would like to discuss a payment schedule, please contact us and we will do our best to accommodate your needs on a case-by-case basis.
Mandatory travel insurance
Comprehensive travel insurance covering personal injury, medical expenses, and repatriation costs is a mandatory condition of participation. Some insurance providers classify mountain biking as an extreme sport, so please confirm your policy covers this activity specifically. Proof of insurance may be requested prior to the tour start date. Participants who cannot provide adequate proof will not be permitted to join the tour and the cancellation policy will apply.
Cancellation
- Cancellations made 90 days or more before the tour start date will receive a full refund minus any applicable fees and unrecoverable costs.
- Cancellations made between 60 and 89 days before the tour start date will incur a 50% loss of the total tour cost.
- Cancellations made between 30 and 59 days before the tour start date will incur a 75% loss of the total tour cost.
- Cancellations made less than 30 days before the tour start date are non-refundable.
Unrecoverable costs
Where a refund is subject to a deduction for unrecoverable costs, these may include but are not limited to non-refundable deposits paid to accommodation providers, transport operators, activity suppliers, or other third parties contracted specifically for your tour, as well as bank transfer fees and currency conversion costs. We will provide an itemised breakdown of any deductions upon request.
Donations (Custom Tours)
For Custom Tours, a donation to a partner organisation of your choice is included as part of your total tour cost. If you cancel within the eligible refund window and your tour has not yet been completed, your donation component will be refunded in full. Donations are only disbursed to our partner organisations following tour completion, so no funds will have been transferred at the point of cancellation. Once a tour has been completed and funds disbursed, the donation component is strictly non-refundable. Ripple Effect Rides does not handle donations for Charity Rides, as participants fundraise directly for the associated cause.
Deferment
At Ripple Effect Rides’ discretion, a booking may be deferred for up to 24 months. Depending on the timing of your deferment request, loss of deposits or initial payments will apply as per the cancellation tiers above. All remaining funds paid will be held and applied to any publicly available multi-day tour listed on our website at the time of rebooking. Please note that we cannot guarantee your original tour or event will be available, as future hosting is subject to the charity partner’s plans and circumstances.
No-shows
Participants who do not show up for the tour will forfeit their payment in full. No refund will be issued.
Changes to booking
Any requests to change a booking must be submitted as soon as possible. All change requests are reviewed on a case-by-case basis and we cannot guarantee that changes can be made.
Changes to itinerary
While we make every effort to adhere to the published itinerary, we reserve the right to make adjustments to the route or schedule due to unforeseen circumstances including weather, road conditions, or safety concerns.
Company cancellation
In the rare event that we must cancel a tour, you will be offered a full refund minus any applicable fees or unrecoverable costs, or the option to reschedule for a future date. We are not responsible for any additional costs you may have incurred, including flights or accommodation.

Eligible refunds for multi-day tours will be processed within 30 calendar days of cancellation confirmation.
